How to become a member of DFIM - for Danish insurance companies

As part of the preparation for the insurance company’s admission as a member of DFIM, the CVR number must be provided to DFIM.

DFIM must be informed of any representation of the insurance company through other parties. This may include the outsourcing of claims handling to a third party on behalf of the insurance company or claims representation under the Motor Insurance Directive (if a person is injured abroad, the injured party must be able to submit a claim in their own language).

Lists of the above representatives, whether relating to outsourced claims handling or claims representation, must include:

1. Company name

2. CVR number or national company registration number

3. Address

4. Email

5. Telephone number

In addition, documentation must be submitted from each claims representative confirming the relationship (letter of acceptance).

Example wording:

“We would like to inform you that we accept the nomination from [xx] for [yy]. We confirm that the effective date for claims being handled by us is [date].”

DFIM maintains a register of its members’ claims representatives within the EU/EEA. The register is available on DFIM’s website and via the COB (Council of Bureaux).

Upon receipt of the above information and documents, DFIM will send a standard membership agreement with appendices to the insurance company. The signed agreement must be returned to DFIM.

By signing the membership agreement and appendices, the insurance company simultaneously accedes to:

7. Agreement on the use of Faellesregister

8. Data Processing Agreement

The insurance company must also provide information about relevant contact persons.

DFIM will sign and confirm the membership once approval has been granted by the Danish FSA.

The insurance company is welcome to share the draft membership agreement with the Danish FSA in connection with its application for Class 10 approval, i.e. the authorisation to provide motor third-party liability insurance in Denmark.

Please note that the draft membership agreement will lapse if Class 10 approval from the Danish FSA has not been obtained within 6 months from the insurance company’s signature of the draft agreement.

The insurance company shall gain access to Faellesregister in order to ensure compliance with the prohibition against taking out motor third-party liability insurance for a person who owes daily fees to DFIM.

The Agreement on the use of Faellesregister is an appendix to the membership agreement, cf. point 3 above, but access to Faellesregister requires a DMR code from The Danish Motor Vehicle Agency. A DMR code is a unique code by which all vehicles registered with the insurance company are registered in the Danish Motor Register.

The DMR code is assigned based on the insurance company’s application for a connection agreement with the Danish Motor Register via DMR – application for a connection agreement.

Once DFIM has received the insurance company’s DMR code, DFIM can create access to Faellesregister. However, it should be noted that access will not be activated until the insurance company has been finally admitted as a member of DFIM.

The insurance company must inform DFIM which named employees have a work-related need for access to Faellesregister and should be granted access to make enquiries in the register. Names and email addresses must be provided for this purpose.

Please note that enquiries in Faellesregister may only be used for the purpose of ensuring the basis for taking out motor third-party liability insurance.

Once the above requirements have been met, the following must be submitted to DFIM:

• Copy of the Class 10 approval from the Danish FSA

• DMR code
